File-Level Archiving in Microsoft 365: Less Noise, Lower Costs

Session Abstract

Your SharePoint environment is growing — and most of that growth is content nobody looks at anymore. Old project files, outdated reports, and stale documents sit in active sites, pollute search results, and quietly undermine the relevance of Microsoft 365 Copilot. Until recently, your only option was to archive an entire site or accept the clutter. That changes with file-level archiving. File-level archiving allows organisations to move individual files to cold storage while keeping the site itself fully active. To understand why this matters, we will first look at how Microsoft 365 Archive works at the site level — and why that approach alone is not enough for most organisations. File-level archiving fills the gap: a more granular, more flexible, and significantly cheaper alternative that puts you back in control of your content landscape. In this session, you will see exactly how to set it up. We will walk through the configuration step by step — using the SharePoint admin centre, PowerShell, and the Microsoft Graph API — and cover what each option costs. You will see the real numbers: the difference between standard and cold storage pricing, how to estimate potential savings for your own environment, and what a realistic governance policy looks like before you start archiving files at scale. We will also cover the mechanics: how files are archived, how metadata and retention policies are preserved, how users can reactivate files without administrator involvement, and what limitations apply — including Teams channel files and the 30-day re-archiving window. This session is demo-driven and grounded in hands-on implementation experience. By the end of this session, you will have - Discovered how file-level archiving works in Microsoft 365, how it relates to site-level archiving, and when to use which approach. - Learned how to configure archiving via the SharePoint admin centre and PowerShell step by step. - Understood the cost model in detail, including a concrete calculation you can apply directly to your own environment. - Uncovered what a solid governance policy looks like before you start archiving triggers, labelling standards, and ownership models.
